Email hosting is a service that maintains mailboxes operating in its own domain, for example kontakt@nazwafirmy.pl. The company address strengthens the credibility of the brand and allows you to organize employee communication.
What does the service include?
The package may specify the number of mailboxes, capacity, maximum message size, browser access, e-mail program support, spam filters and backups. It is also worth checking sending limits, log availability and how to recover deleted data.
DNS records for mail
MX records indicate the servers that receive messages. SPF determines sources authorized to send, DKIM allows you to confirm the authenticity of messages, and DMARC defines how to deal with mail that does not pass verification.
Properly configuring these mechanisms reduces the risk of domain spoofing and improves deliverability. However, it does not guarantee that it will land in your inbox, as the sender’s reputation, the content of the message and the behavior of the recipients also play a role.
Box security
- Each person should use their own account.
- Passwords must be unique and stored in the password manager.
- It’s a good idea to enable multi-factor authentication.
- Access by former employees should be removed immediately.
- Messages containing important data should be subject to an established archiving policy.
Popular email programs connect to the server via IMAP for receiving and SMTP for sending. Connections should be encrypted. Configuration data must be downloaded directly from the operator panel as server names and ports may differ.
Website hosting and email hosting
Both services may work with the same operator, but they do not have to. Separation can be beneficial if a company needs extensive collaboration features, high availability or central account management. The most important thing is to set the DNS correctly and clearly define who is responsible for administration.
